- Signed contract is due at booking. This is to book the event date and to ensure that my services will be used as stated throughout the planning process and/or day of coordination.
- A $100 deposit will be collected at booking. This is to reserve the date of your event.
- All payments are non refundable.
Payment Structure:
- Complete and Partial Planning Packages:
- 25% of remaining balance (which includes $100 deposit) due 30 days after booking.
- 50% of remaining balance due 120 days prior to event.
- Remaining balance is due 60 days prior to event.
- Day of Coordination Package:
- Remaining balance is due according to contract.
Checks and cash are accepted forms of payment.
Mileage and Hotel Fees:
- A mileage fee of 52.5 cents per mile will be added to the final bill for travel to venue(s) more than 45 miles one way from my zip code of 98045.
- If the venue(s) is more than 60 miles one way from my zip code of 98045, and the rehearsal dinner is the night before the event and/or I need to be at the venue by 9 am the day of the event, a hotel room fee will be added to the final bill, or a hotel room can be booked directly by the client(s).
- If your event is in the evening (starting at 4 pm or later), travel is more than 60 miles one way from my zip code of 98045 and clean-up is added onto your package, a hotel room fee will be added to the final bill for the wedding night or a hotel room can be booked directly by the client(s).
- If hotel is booked by Cassie Renae Events, hotel rate will not exceed $150 + tax, per night, without prior approval.
- Weddings that require overnight stays will incur a per diem charge for the lead coordinator and one assistant required to be present for the wedding day/weekend. This rate covers meals and travel incidentals. The current 2017 rate will be based off the King County rate as that is where the business is located. The current full day rate is $74 per day, per person. Travel days are billed at 75%.
Conditions:
- My role is that of a Planner/Coordinator. The couple will make the final selections of all vendors and I will help implement those selections.
- Cassie Renae Events, LLC will not be responsible for vendor agreements with client(s). I will do my best to make sure your event unfolds as planned in coordination with all vendors, but I will not be held responsible if vendor expectations are not met as agreed upon between client(s) and vendors.
- Cassie Renae Events, LLC will not sign any vendor contracts for the client(s).
- Cassie Renae Events, LLC will not pay for any rentals or vendor packages.
- Cassie Renae Events, LLC will not be responsible for any vendor(s) fees including, but not limited to: additional charges, date change or cancellation fees, and late payment fees.
- Anyone representing Cassie Renae Events, LLC will be provided a meal, if working an event longer than 5 hours. Number of meals required will be given to the couple in time for final catering head counts.
- It is the couple’s responsibility to provide Cassie Renae Events, LLC with contact names, telephone numbers, email addresses and any timetables for all vendor(s) involved in the wedding day no later than 14 days prior to the wedding.
- It is the couple’s responsibility to inform Cassie Renae Events, LLC of any change(s), in writing, as soon as the change(s) take place. Cassie Renae Events, LLC will not be held responsible for any change(s) made by the couple and/or vendor(s) if Cassie Renae Events, LLC is not notified of the change(s).
- The couple understands that any last minute changes can impact the quality of the wedding and that Cassie Renae Events, LLC is not responsible for these compromises.
- Cassie Renae Events, LLC will use professional judgment with vendors when taking action in regard to changes, weather, tardiness, non-performance, etc. based on the situation, time limitations and your wishes.
- In the event that a couple is forced to change the date of their wedding for any reason, including Acts of God, every effort will be made by Cassie Renae Events, LLC to transfer services to the new wedding date. If Cassie Renae Events, LLC is unavailable to provide services on the new wedding date, Cassie Renae Events, LLC will be released from all contractual obligations and shall in no way be held responsible or liable for non-performance.
- The couple gives permission to Cassie Renae Events, LLC to use any photographs of them, the wedding ceremony and reception setting, etc. for my website for promotional use only. The photographer's name will be listed with the photos (if applicable).
